Selecting a Caterer

The catering bill will most likely be the most expensive part of the wedding, typically accounting for about 40% to 50% of your total budget. Therefore it is very important to work with a professional, experienced caterer to get the best food and service for your money.

Starting Your Search for a Caterer…
You should begin your search for a caterer about 6 months to a year before the wedding. Ask friends, family members, and other recently married couples for referrals of good caterers in your area. You can also check out the caterers listed on this site in our Local Services directory.

Don't meet with a caterer until you know the following information!

Wedding Date, Time & Location
Obviously you can't hire a caterer without checking their availability for your date! You should also know approximately what time you would like food to be served. Also if the caterer has worked at your location before, this is a plus. If not, you may need to meet at the reception site to determine if all of the necessary equipment is available for food preparation, to decide the layout for a buffet table, etc.

Wedding Size & Level of Formality
Be prepared to give the caterer an estimate of the number of people to be fed. Make sure that the caterer has done a wedding of comparable size to your wedding. Also think about whether you prefer a formal sit down dinner or a buffet. Of course sit down dinners require more servers and generally are much more expensive.

Budget Restrictions
Be prepared to give the caterer a definite budget figure so he or she can steer you in the most practical direction. You don't want to waste time being tempted by the most elaborate dinner menus that you can't afford. A good caterer will help you plan a delicious meal plan on any budget!

How to Select a Caterer...
You may need to meet with several caterers before you find the right one for your wedding. Ask to see photos of previous weddings the caterer has done. Check references to make sure there is a history of quality work for actual customers. Arrange for a tasting of the food that will be served at your wedding. Finally, ask for a written proposal or estimate from each caterer before you make your final decision.

Many caterers provide items which may be included in their service or rented for an additional fee such as tables, chairs, linens, place settings, decorations, etc. Be sure to inquire with your reception site as to what items they supply and what your caterer will need to bring in.

Firming Up the Details!
Once you decide on a caterer, be sure to get a written contract stipulating all costs, times, dates, places, and services. Do not make any payments or deposits until you have a contract! Make sure that you arrange a time for the caterer to arrive at the reception site in plenty of time to prepare the food. You may need to meet with the caterer again a few weeks prior to the wedding to firm up any last minute details and provide a final head count!
